What is Google Forms?

Google Forms is an app for creating forms and surveys, and is part of Google Apps for Work. The product focuses on ease of use; the interface is similar to a document editor, with drop down lists of options and drag and drop question re-ordering. Users can embed images and video into surveys. Users can also program the question flow with custom logic. Google sends users basic summaries of the survey results automatically, or users can export the raw survey results data and analyze it via spreadsheets or other analytics software.

We utilize Google Forms with staff and students for everything from a quick one-question test to feedback surveys. Google Forms integrates perfectly with the rest of the Google suite and also with outside users. Google Forms now has a great tool to summarize responses as well as being able to export to Google Sheets. There are a variety of question types. This tool has allowed us to no longer utilize Survey Monkey.
  • Easy to create and use
  • Simple distribution options including embedding
  • Summary tools to see responses
  • Ability to collect email address automatically within domain
  • Ability to filter summary results by other question answers
  • Easy way to print/export all summary charts
  • Additional formatting within questions and/or answers
Google Forms works great to get quick feedback for surveys. The data is best if it does not need to be filtered at all so if you're trying to get feedback from multiple groups, it is best to make copies of the survey and see the results separately or have someone who is proficient in Sheets be able to aggregate the data.

We use Google Forms to collect information from our constituents, both internally and externally. Examples include registration forms for events, surveys to generate feedback, and recording metrics and goals. Google Forms allows us to quickly create a clean and beautiful medium to gather information in an easy and familiar format. We love how we can customize questions and the branding to match our style guide. Google Forms is easy to use and train others to use.
  • Easy to create forms and easy to fill out forms
  • Viewing response data is clear and simple
  • Integration with Google Drive
  • Edit view limits the questions as seen by viewers. The view function is nice to toggle between to see what the question will look like, but the edit view of some questions (like checkboxes) is confusing for the editor.
  • It would be wonderful to be able to assign responses to go to specific users. The user needs to go into the responses section and select the option to receive notifications, versus the owner of the form being able to do that.
  • Having a dependency feature for questions (in addition to sections) would be very helpful, so that if a question is answered a certain way, another question appears.
For most forms, Google Forms is an excellent choice. Only if you are looking for a bit more complicated survey questions and dependencies is Google Forms not a good fit. Google Forms is very accessible to most people and can be easily incorporated into workflow. Training is very straightforward and the user interface is very navigable. Google Form is clean, simple, and trusted.

Google Forms is a very simple way to collect data through an easily customizable form (think surveys, requests, applications, voting on different things - there are lots of use cases that pop up daily). It is used across the organization as a part of GSuite. Without Google Forms, there would be a lot of manual data compilation necessary.
  • Easy to use both as the person creating the form and completing the form
  • Easy to collaborate on the form with other GSuite users
  • Easy to share the results
  • Google Forms doesn't allow you to do much with formatting easily (i.e., bold certain parts of your question, put in nice looking links.)
  • Google Forms doesn't have as many advanced analytic features as a SurveyMonkey for instance; however it is nice for just needing the basics.
Some great uses:
  • Collecting current mailing addresses
  • Employee applications for different mailing addresses
  • Collecting votes for a company event/prize
Less ideal:
  • Surveys with advanced data analytics needed

We use Google Forms for basic event registration and other form needs that don't require integration with our CRM. It allows users to gather information without significant cost and needed training. It is easy to spin up another form when needed.
  • Easy to use, doesn't require IT support.

  • It's easy to clone a form so you don't have to build from scratch.
  • Doesn't have built-in CRM integration.
  • Limited ability to customize UI.
  • Many different users spinning up forms can make data centralization difficult.
Google forms are great for small businesses [that] don't have an IT department and don't have a centralized CRM. For larger companies, they will likely want a form solution to be integrated [into] their CRM and to have a bit more control over their form tools.

I use Google Forms to get to know my audience / contacts as they join my list, for scholarship applications, and for some feedback. It's included in G-Suite so using it doesn't add to overhead and best used for situations where a quick simple, un-styled form is appropriate. It's a quick and easy solution when needing to quickly, easily, and reliably collecting information.

It's perfect in situations where you need a quick, simple solution. To be honest, I don't think of Google Forms as much as I should. For example, I needed to have people sign up to receive tester status for a new app and a Google form is much easier, taking almost no type or styling to pop out, whereas a more robust solution takes a bit more time - which doesn't seem like a big deal, but when you're hemorrhaging 5 minutes here and 10 minutes there, it really adds up quickly!

As an educator, Google Forms is used for a variety of functions. Google Forms can be a quiz, a faculty or student poll, an online ballot for club elections, or a survey for a research project. In high school, faculty and students use Google Forms for all of these and more. It is an easy way to manage data and is used often in my district.
  • A quick online quiz to test student knowledge
  • An online ballot to vote for officer positions in Student Government or a club
  • A survey to collect data for a research project
  • A poll to vote for Spirit Days or other community activities
  • I wish there were more options for layout to be able to change the setup.
  • I would like to be able to add graphics and other media...expand the questions a little more.
In education, Google Forms can be used for a variety of situations. Teachers and staff use Google Forms for online quizzes, staff or student polls, and even as a ballot for elections for Student Government or other club officers. Students can use Google Forms for surveys to collect data for a research project or to collect data for student interest in Spirit Days or other community activities. The only drawback is that Google Forms is a bit flat and doesn't allow much change in the layout or the ability to add any other media. Overall, though, our school district uses Google Forms quite often.

I use Google Form to collect different kinds of data of the users and generate an excel file with that data. Google Form provides a reach set of input fields. It also offers various validations based on input and also gives us the power to create our custom validation. It auto-generates various graphs based on the user responses without any extra work. These graphs help us analyze different parameters directly into its response section. It also provides the feature of enabling and disabling the form with just a single click
  • It will help us collect different kinds of data.
  • Help us analyze and generate graphs for statistical data.
  • Input various kinds of validations in your inputs to receive user inputs and reduce junk data.
  • Generates an excel file of response so we can use it, modify it as per our need and share it with the team.
  • Gives the power to change the form on the go without requiring to change the form link.
  • Writing a script is a bit difficult in Google Form. For example, if I want to populate the next question based on the answer to the current answer, then it is difficult right now in the Google Form.
Well, it entirely dependent on the scenario of use. But for me, it is best suited when I need to collect the data of hundreds of users with the help of Google Form I can easily do this by just creating a form and sharing a link with those users. Once I got stuck in Google Form when I want to send an SMS to the users who registered using the Google Form. So for this kind of situation, I think Google Form is not suitable.

We use Google Forms across thee organization for multiple purposes:
  • To run surveys: Whenever we have any event and need surveys about participation, we use Google Forms.
  • To get feedback: To receive feedback at the end of any event.
  • Idea crowd sourcing: To get general opinion of entire team or organization.
In general, when data is not business sensitive, we use Google Forms for survey purposes.
  • It is a free tool with extremely simple interface to create simple forms.
  • To create basic UI for forms, it requires zero knowledge about HTML.
  • A custom-designed HTML form can also be connected to Google Forms back-end. This allows users to create visually beautiful forms for front-end users and all visualization and reporting features for form/survey owners.
  • It allows you to see consolidated results in the form of graphs and charts. These results can also be exported to Spreadsheet.
  • Customization of fonts, background and other styling parameters is a bit tricky. One cannot make the complex layout with Google forms directly.
  • The branching in the flow is handled on separate pages. One cannot have dynamic fields in the same form.
If the data is not sensitive, this tool is perfect for surveys. It is extremely easy to create simple forms and get responses from the users. It is well suited when questions are limited as form formatting is bit tricky. Google Forms is not suitable when the need is to collect private or sensitive data.

It's great for getting a bunch of people's opinions on something or a day where everyone is free. Google Forms is simple and easy to use, with great customization. You can use short answer, multiple choice, drop-down, check boxes, and more for any type of survey you might have. Plus, it's easy to share and collaborate on Google Forms.

  • Conveniently organizes the data you collect from the forms.
  • Can't use GIFs in forms.
Google Forms is useful in a variety of areas, especially internal communications when coworkers opinions or availability are needed. It's quick and easy to use and looks professional.

  • Setting up a basic form takes little to no time!
  • Customization can be a bit frustrating if you are trying to add a personal picture as a header.
  • Navigating responses can be a bit tricky
  • Accessing google forms can be a bit tricky as well.
Google Forms is well suited for student organizations and for internal assessment. For example, if we are trying to generate quick information about a group of people, we could easily generate a form to do so in less than 10 minutes.

We use Google Forms to address many issues all across the company. In my department, we use it to ask the clients for advice on the work we deliver to them regularly. We also use Google Forms to ask for procedures that always require certain information to run (for example, reprocessing data). HR uses to understand employees' necessities, and they made an anonymous form for us to send in advice and complains.
  • It's easy to design a form according to your specific needs, like asking the customers for their point of view about the service given.
  • It allows users to consume the form information in text answers and in graphs, and to filter the responses individually if needed.
  • If you want to make some tests after some capacitation or something, it's also easy and fast to make one to evaluate people.
  • Sometimes, especially when filling tests, it can be counterintuitive and leads to mistakes in the answers.
  • Maybe a prettier interface would work better. It's not that it's actually ugly but it is a bit plain.
  • More options to export.
I think it's a free tool very useful in environments where other people's opinions are relevant (client's opinion, etc.). It is also helpful when you need to get information fast and securely and then need to store that information somewhere automatically. I found Google Forms is very useful while doing some academic research on linguistics!

Google Forms is used to collect and analyze data among various stakeholders. For example, if the district wishes to survey teachers about preferences, it creates a Google Form. Data can be analyzed meaningfully by looking at both qualitative and quantitative outputs. There are options to see bar charts, pie charts, and more. You can look at data both at the level of individual and the entire cohort sampled.
  • Clear and easy to use for both data administrators and users.
  • Can collect a lot of data.
  • An efficient way to obtain data.
  • Survey construction can be a bit clunky.
  • Exporting to Google Sheets creates a document that is too large.
  • Google Forms can have more opportunities to add creative flair.
Google Forms is well suited to "take the temperature" of a population, whether it's internal or external stakeholders. If you ever wanted to do a survey then Google Forms allows you to do so at no cost because it's completely web based. You can collect information either anonymous or allow people to give their names so you can follow up as required. You can choose how the data is displayed.

Google Forms is being used by a few different staff members, but not consistently. We use it in one-off instances that require us to gather feedback from staff, our board, or our beneficiaries. For us, it's an easy way to collect information- anything developed by Google is extremely user friendly and doesn't require you having to get too familiar with a new data gathering source. The templates that are already created are helpful; however, we tend to create our own. For example, we used it a few months back to collect data from our grantee organizations. We give to a number of nonprofits and wanted to see the spread of where we give (regions) and the end beneficiary. None of the grantees reported difficulty in filling out the forms and my coworker, who has a more challenging time with technology, was able to put one of the sections together.
  • Design is appealing and simplistic
  • Very easy for the user to figure out and run with
  • The templates and examples they give are helpful for some
  • Variety of questions and answer options
  • Being able to provide more complexity in routing responses into different question sets
  • Analytics portion could use some growth
If you're wanting to gather some relatively easy responses and gather them quickly, I've found Google Forms very well suited to pulling something together and gathering less complicated responses. If I have something that needs to be built out a bit more, have different tracks for responses, I typically turn to something more robust, such as SurveyMonkey. Perhaps I haven't explored Google Forms to its full extent, but I've found SurveyMonkey having more analytics options and more question options. When I have a need for quick survey buildout, Google Forms is my go-to. PLUS, it's free. With SurveyMonkey, you have to pay to get some of the more robust options.

I use Google Forms to receive information about my clients after they’ve signed on for services, as well as after to gather feedback on their experience.
  • Super easy and intuitive ability to set up questions
  • You can customize the layout and background which is a nice option
  • You can easily get analytical data on your answers and replies
  • Going to the different responses via the buttons at the top is a little tedious. I'd actually prefer to just be able to scroll and have each form response show up inline in the window.
It's super easy to use, build new forms, copy them, edit, etc. You can get notifications from who's filled them out. You can track emails of those who submitted. You can get an aggregate of the scores, drop into spreadsheets, and more. You can embed them, send out as a link in email. Easy Breezy.

Composed uses Google forms to create surveys for client research in the process of building ideal customer avatars. It's an easy way to collect large amounts of data for later sorting, and it provides a lot of control over how tight (name/email address required) or loose (anonymous) you want to be in collecting data from the people you survey.
  • The best part about Google Forms is that it's free. There are prettier solutions out there, but not at no cost, and that's important if you're running a small operation and won't use the product every month to generate the revenue to cover the cost of that solution.
  • I like that Forms has a lot of question types so that you can control the data type for graphable data but leave the responses open for answers that may directly find their way into your messaging.
  • It's also important that you can drop the data straight into a Google Spreadsheet so that you can manipulate it to look for trends.
  • Sorry, Google, but Forms is ugly. You can mess with the look a little bit to give it a branded feel, but you'll never get something beautiful like you might in Typeform or something similar. That said, it's hard to look a free gift horse in the mouth.
  • I'd like to see a few more response types offered.
The best marketing use I've found for Forms is collecting a good sample size for preliminary surveys to direct a company's messaging. If you can get enough participation to make it worthwhile, the ability to manage the data in Sheets is as good as about anything, and if you need to do more with it you can export a .CSV file and drop into another program (I've never needed this).

This is not the kind of software you want to wow a potential client with or use to collect prospect information from your website on. It never quite looks polished enough to use for your contact forms, etc...

Google Forms was used within my classes as well as the administration at my school. It was used as a medium for both online quizzes, legitimate surveys and questionnaires. The problems it addressed were determining satisfaction with a class or the school in its entirety quickly and efficiently while helping maintain accuracy through anonymity.
  • Easy to read and understand questions
  • Simple response options
  • Allows for quick surveys
  • Options for responses could be more easily shown
  • The site is a bit bland and could use more positive aesthetics
  • Questions could be displayed more prominently
There are very few SPECIFIC scenarios where Google Forms is well suited or appropriate. The software is a very broadly applicable thing that can help a variety of people in a variety of situations. I have seen the software used for both online quizzes and surverys themselves and in each instance it has worked great.
